Registration policies – Including Cancellations and Transfers
- All registrations require a valid email address.
- Your registration will be pending until payment is processed. Allow 2-5 business days for your registration to be processed. Once registered, you will be able to view your registration details on-line.
- Payments made online via credit or debit cards are subject to a merchant cost surcharge of 3% to recover our actual payment processing fees. No surcharge applies to direct internet bank transfers. Consider therefore to internet transfer the fee into our Westpac account 030104 0440078 00 for the credit of Polestar Pilates NZ, and we will set you up on the system in the backend. Just make sure you add your full name and what your are signing up for as a reference. Contact us at info@polestarpilates.co.nz if you are not clear about the above.
- Commitment: by registering on a course with Polestar Pilates you confirm that you have read and that you understand the time commitment required to complete the course. It is the Students’ responsibility to ensure the course hours fit into their schedule and life commitments.
- Courses typically commence between 8 and 9.00am and typically finish between 5 and 6.00pm, with a 1 hour lunch break (lunch not included in fees).
- Course fees include workshops, morning and afternoon refreshments and certificate of completion at end of each 2-day workshop or course.
- NOTE: there will be some additional costs which are not covered in the course fees. As part of your logbook hours all repertoire must be signed off for teaching and demonstration. Polestar allocates time at each face to face weekend for check off but if these are not completed they must be done in your own time at your cost with a Mentor. Also Self-Mastery logbook hours will be at an additional cost, note that 15 hours can be completed as self-directed study (unsupervised).
- A late payment fee of $25.00 may be charged to cover our actual administrative costs in the event of a declined payment or payment plan default.
- Polestar is not responsible for any hotel/airline reservation or transportation to or from a course.
- While we make every effort to avoid disruptions, we reserve the right to postpone or cancel a course due to unforeseen circumstances (such as extreme weather, tutor illness, or failing to meet the minimum threshold of participants). If we cancel or indefinitely postpone a course, you are entitled to a full cash refund of fees paid for that course, or you may choose to transfer to an alternative course or receive a 12-month credit, taking into account other Registration Policy components. PLEASE NOTE: should you have to make use of air travel to get to and from a course, we strongly recommend that you book “full flexi” fares.
- Any remaining balance may be applied to a future course taken within 12 months. The credit must be used for a future course within 12 months of the cancellation date. Polestar Pilates will assist the student in finding a future course in which to participate.
- In the event that a student has missed one or more courses and failed to make payments under the payment plan, the student is still responsible for course payment in full.
- Registration deadline is 30 days in advance of course or exam start date, as in most cases you may need to complete an online course, as well as receive pre-course reading, documentation, and a logbook. Registration received less than 30 days will be processed only if space is available, otherwise you will be contacted.
- Registration is limited to 14 or 21 participants depending on location. Registration received for a course or exam that has reached full capacity will not be processed and you will be contacted. Courses will only go ahead with a minimum of 10 participants.
- Cancellations due to extenuating circumstances may be considered on a case by case basis, and may be eligible for a discretionary refund, less a $100 administration fee to recover our setup costs. No refunds will be made for cancellations made 29 days – or less – prior course start date. Courses cannot be cancelled due to change of mind, weddings, work travel, holidays, personal scheduling conflicts, personal relocation or similar.
- Change or transfer requests received with at least 14 days’ written notice are permitted at no extra charge (limited to two transfers). Within 14 days of the start date, and when the course has started, fees are non-transferable.
- Course fees are non-refundable for change of mind, weddings, work travel, holidays, personal scheduling conflicts, personal relocation or similar once signed up. This policy is subject to your rights under the Consumer Guarantees Act 1993, including your right to a full refund if we fail to meet our statutory guarantees and such failure is of a substantial character.
- We understand that sometimes unforeseen circumstances may prevent a student from attending a course weekend. In such cases, to ensure you don’t fall behind, we ask that you schedule a make-up session with a Polestar Mentor before the next in-person weekend. Please note that there is an additional cost for these one-on-one sessions. We’re committed to helping you stay on track with your learning journey and are happy to assist in arranging these make-up sessions.
ONLINE COURSE ACCESS POLICY
Unless otherwise stated, all online courses and workshops provide 1 month of unlimited access.
For Polestar Principles Online and Polestar Anatomy, standalone courses provide 6 months of unlimited access and 2 years of unlimited access when being taken with a teacher training program.
It is the responsibility of the student to complete and download all completion certificates before this time.
- You acknowledge that physical exercise and pilates training involve inherent physical risks. While you assume responsibility for these natural training risks, nothing in this clause excludes, restricts, or modifies our legal liability under the Consumer Guarantees Act 1993 for ensuring that our facilities, instruction, and equipment are safe and fit for purpose.
- You will take it upon yourself to discuss any changes related to your health with your Polestar instructor or educator. You recognise that the Polestar instructor or educator is not able to provide medical advice with regard to any medical fitness and that the information provided by you is solely used as a guideline to the limitations of your ability to exercise.
LATE OR NON-PAYMENTS
- We reserve the right to charge late payment interest on any overdue installments at a rate of 1.25% per month (15% per annum), calculated daily on the outstanding arrears from the due date until paid in full.
- We also reserve the right to suspend or terminate any ongoing access to the Polestar online platform, or prevent you from attending online or in-person sessions, if payment is not received within 14 days of the due date.
- In the event that your account is referred to a debt collection agency or legal proceedings are initiated to recover unpaid amounts, you will be liable for all collection costs, legal fees, and any other expenses incurred in recovering the debt.
- In the event of an outstanding default under a payment plan, we reserve the right to suspend your access to online platforms and in-person training. If the default continues unremedied for 14 days following our written notice, we may terminate the plan, at which point fees for services already rendered under the plan become immediately due.
